Administrative Assistant for Health Services

The Frederick Gunn School, founded in 1850, is a co-ed boarding and day school for students in grades 9-12 as well as a post-graduate year. Mr. Gunn had a deep appreciation for the natural world, believing that in nature, students understand themselves as humans and their place in the world. He took a principled stand against slavery and spurred students (and the town at large) to examine their beliefs. In addition to the habits and skills students will need in college and life beyond, we teach them to follow Mr. Gunn’s example: to cultivate wisdom, to be trailblazers, to act with conviction, and to value character as highly as intellect and achievement.

Summary:

The Administrative Assistant at the Health Center is responsible for supporting and streamlining operations to enhance efficiency within the Health Center. This position requires an individual who is highly organized and detail-oriented, can multitask effectively, and possesses excellent communication skills. This person will be the first point of contact at the Health Center and will greet and direct students appropriately. The successful candidate will also be responsible for building relationships within our boarding school environment, as well as forging partnerships with students and their parents. The Administrative Assistant should embrace a customer service mindset in all communications. Additionally, the Health Services team works closely and collaboratively with the Athletic Trainers, the Director of Counseling, and the Dean of Students' Office to ensure that students receive a comprehensive level of care.

Key Responsibilities:

  • Greet students and manage the front desk in the Health Center.
  • Manage incoming phone calls and email communications.
  • Scheduling student appointments and tracking follow-up care.
  • Coordinating transportation for off-site medical appointments.
  • Maintain accurate and confidential student health records in EMR.
  • Managing the Health Center calendar and reminders.
  • Assisting with medical supplies, medication inventory, and tracking.
  • Communicating with parents/guardians and outside provider offices in a timely and professional manner.
  • Provide administrative support to the RNs, Director of Health Services, and APRN.
  • Performs other tasks as assigned by the Director of Health Services.

Requirements:

  • High school diploma required, associates or bachelor's preferred.
  • Administrative Experience (health care or school-based a plus).
  • Friendly, efficient, and professional demeanor.
  • Computer literacy: Proficiency in Google Suite.
  • Excellent written and oral communication skills.
  • Customer service mindset.
  • Experience with Electronic Medical Record System (August Schools a plus).
  • Valid CT Driver’s license with appropriate public passenger endorsement (preferred, but can proceed with once hired).
  • Current CPR (preferred, but can receive once hired).

Schedule and commitment:

  • Full-time, hourly exempt position, benefit eligible, Monday-Friday 8-4.
  • Flexibility/decreased hours during school-scheduled breaks (2 weeks in December/January and 2 weeks in March, as well as the summer months).
