Job Description

Job Title: Administrative Assistant/Bookkeeper

Schedule: Monday - Friday, 8:00 AM - 5:00 PM
Pay Rate: $19 - $20 per hour
Location: Ocala, FL

Requirements:

  • Must be able to pass a drug test
  • Must be able to pass a background check
  • Must be proficient with MS Office such as Excel (simple formulas and spreadsheets) QuickBooks Online version and ADP.
  • Must have prior accounting/bookkeeping knowledge and payroll knowledge.

Job Overview:

We are seeking a reliable and detail-oriented Administrative Assistant/Bookkeeper to join our team. In this position, you will support daily operations by managing accounting tasks, handling administrative duties, and assisting with various office tasks in a relaxed, slower-paced environment. This is a great opportunity for someone with a strong background in bookkeeping and administrative functions, particularly within the construction industry.

Key Responsibilities:

Bookkeeping & Accounting:

  • Maintain company books using QuickBooks Online
  • Handle accounts receivable and billing
  • Process accounts payable
  • Perform bank reconciliations and bank transfers
  • Run payroll through ADP Run Portal
  • Make bank deposits and run credit card payments (Square)

Administrative Support:

  • Answer phones and assist with client inquiries
  • Perform filing, copying, scanning, and data entry
  • Manage spreadsheets in Google Sheets and Microsoft Excel
  • Responsible for company insurance renewals
  • Handle Worker’s Compensation Insurance audits
  • Contact insurance agents regarding insurance certificates
  • Order office supplies and manage inventory
  • Other general administrative duties as required

Required Skills & Qualifications:

  • Proficiency in MS Office (Word & Excel) , particularly in spreadsheets and formulas
  • Experience with Google Docs and Google Sheets
  • Solid experience using QuickBooks Online
  • Familiarity with ADP for Payroll processing
  • Ability to interact professionally with clients and team members
  • Strong attention to detail and organizational skills
  • Must have “thick skin” and be comfortable working in a construction industry environment
  • Prior experience with administrative support and bookkeeping is preferred
