Administrative Assistant/Receptionist Needed! HIRING ASAP!

*THIS IS NOT REMOTE POSITION* - 10:30 AM to 6:30 PM - Monday - Friday

Distinctive Roofing, a premier, family-owned business with over 25 years of excellence, is seeking a motivated Administrative Office Assistant/Receptionist to join our team in Pompano Beach, FL. This full-time, on-site role is essential in maintaining our office’s smooth operation and ensuring exceptional client interactions. What You’ll Do:

Customer Interaction & Reception

  • Greet and welcome visitors professionally and warmly.
  • Provide information to clients and ensure a positive customer experience.
  • Manage high call volumes using a multi-line phone system; direct calls and take messages efficiently.

Administrative & Clerical Support

  • Assist office staff with administrative duties including filing, photocopying, and organizing documents.
  • Maintain accurate customer records and databases.
  • Handle contract management and prepare signing packages.
  • Perform basic bookkeeping tasks including order entry, invoicing, and payment management.
  • Coordinate and manage schedules, appointments, and site visits for the sales team.
  • Support office and internal communication to ensure smooth operations across departments.

Office & Inventory Management

  • Maintain a clean and organized reception area and communal spaces.
  • Oversee and coordinate cleaning staff.
  • Manage company vehicle fleet logistics.
  • Maintain office supplies and control office supply budgets.
  • Manage inventory for garage/warehouse and ensure supplies are well-stocked.
  • Handle mail distribution, postage, and package management.

Event & Internal Marketing Support

  • Plan, organize, and execute internal events and team celebrations in collaboration with the marketing team.
  • Assist with organizing team-building activities and office functions.

Who We’re Looking For:

  • Proactive & Independent – Self-motivated, takes initiative. and solves problems with minimal supervision 
  • Tech-Savvy – Comfortable using CRMs, Excel, email and general computer systems
  • Team Player – Willing to assist where needed and support overall office operations
  • Physically Capable – Able to lift 50 lbs and stay active in the office as needed.

Qualifications:

  • Experience:  Minimum 1 year in administrative or clerical roles and at least 2 years in phone-based customer service.
  • Language: Bilingual Preferred - English Required, Spanish is a PLUS
  • Location - Must be able to reliably commute to Pompano Beach, FL office
