Legal Monkeys sets the standard for operational excellence for records collection. Personal Injury law firms will hire companies (like us!) to call medical providers to receive medical records and bills on their behalf. By doing so, the life of a case is expedited, which means more money and a faster return to a greater quality of life for clients of the law firm. 

Our office assistant will be responsible for managing all incoming and outgoing mail and packages, scanning CDs, maintaining office inventory, answering voicemails, and ensuring the efficient operation of the mailroom.  The assistant will process all physical medical records mail in support of our Records Specialists.

The Breakdown
  • Receive, sort, and distribute incoming mail and packages to appropriate parties.
  • Scan records and documents and securely route digital files to correct team member.
  • Process any CDs received from the mail run and mail CDs, as necessary. 
  • Operate and maintain mail equipment, such as postage meters, scanners, and labeling machines. 
  • Maintain accurate records of all incoming and outgoing mail and packages.
  • Prepare and process outgoing mail and packages, including weighing, labeling, sealing, stamping, and affixing postage. 
  • Listen to all voicemails for the Operations (Boom) Department, making follow-up notes in Record IDs, and sending voicemails to appropriate Records Specialist. 
  • Monitor the inventory list for both the Waco and College Station office locations and order necessary supplies. 
  • Maintain a clean and organized mailroom.
  • Build genuine relationships with team members and support Records Specialists with various requests. 
  • Display and uphold Legal Monkeys core values in interactions with team. 
  • Perform in a dynamic atmosphere while maintaining a remarkable level of professionalism. 
  • Help to maintain a strong culture of winning and service through hard work and organization. 
  • Think critically through unexpected problems. 
  • Perform other duties as assigned.

Skills and Qualifications

  • High School Diploma or GED  
  • Proficiency with mailroom equipment. 
  • Strong organizational skills. 
  • Attention to detail and accuracy. 
  • Intermediate-level technical proficiency (such as with Google Suite products and other software) required.
  • Basic knowledge of standard office equipment preferred. 
  • Current driver license
  • Reliable transportation for daily travel to the post office to collect and deliver mail

Physical Requirements

  • Moving about to accomplish daily tasks. 
  • Occasional work in small and/or enclosed spaces. 
  • Occasional use of upper extremities to push or pull objects in a sustained motion. 
  • Occasional bending or kneeling and ascending/descending of stairs. 
  • Ability to lift up to 50 pounds at times. 
  • Use hand-eye coordination and manual dexterity of the hands, arms, wrists, and fingers, sufficient to operate a keyboard, photocopier, phone, mouse, headset, scanner and other office equipment. 
  • Work in an environment with moderate noise levels. 
  • Regular daily/weekly travel to the post office and other locations. 
  • Reliable transportation is required to perform mail runs and other job-related errands to support the department. 
  • On-site attendance. 
What would my hours look like?
We're seeking to fill this full-time position with a work schedule of Monday-Friday, 8am-5pm. Starting pay for this role is $14-$15/hr.
