Job Description:

The College of the Arts is seeking a qualified candidate to facilitate in the data entry and digitization of text and imagery for the University of Florida’s Art in State Buildings Program. The ideal candidate will be proficient in using the Microsoft Office Suite, Adobe Acrobat, and the digital collections management system. Responsibilities include scanning physical project files, organizing and transferring digital files, and entering data for the 160 works of art in the UF Art in State Buildings public art collection. Data entry will be a key aspect of the role, so attention to detail and accuracy are essential. Since the program's website is built using the collections management system, maintaining an up-to-date database and website is crucial. The role will also involve creating spreadsheets, generating reports from the Collections Management System (CMS), and writing reports based on the collection's data.

This is primarily a remote position, with no dedicated office space provided on campus, but it will require regular visits to the UF Main Campus in Gainesville.

Florida’s Art in State Buildings program (ASB), established in 1979, continues to highlight local, national, and internationally recognized artists in its growing collection of diverse art. An amount of up to one-half of one percent (0.5%), not exceeding $100,000 of the state funds appropriated for a new building is set aside for the acquisition of public art for that facility. The University of Florida’s Art in State Buildings program is a component of the state of Florida’s Art in State Buildings initiative. ASB is directed by UF’s Public Art Specialist. UF’s Art in State Buildings program has a collection of over 160 works of art on campus which extends throughout the state. The UF ASB program is dedicated to expanding the importance of public participation, thoughtfully representing the public through artistic voices in our public spaces, caring for the physical condition of the art through conservation and maintenance, as well as growing the state of Florida’s art collection, helping Florida to remain a national public art leader.

Responsibilities of the Position

• Assists with Art Collections Management Program (up to 15 hrs/wk)
  • Entering data and digitizing artwork records for 160 pieces in the UF ASB public art collection into the online Collections Management System.
  • Receiving and entering records, images, files, or paperwork into the Collections Management System, ensuring completeness and accuracy.
  • Integrating and reorganizing ASB data from both physical and digital files into UF databases.
  • Maintaining and updating program website through the Collections Management System.
• Supports other functions of Program Director: (up to 5 hrs/wk)
  • Responding to inquiries, gathering and retrieving information, and generating written reports from the database, as required.
  • Other duties as assigned.

Expected Salary:

$15 hourly

Minimum Requirements:

• High school diploma or equivalent
• Familiarity with art terminology
• Ability to find, create, evaluate, and share information across digital database systems
• Excellent organizational skills
• Attention to detail and accuracy
• Proficient computer skills
• Ability to work independently

Preferred Qualifications:

The ideal candidate could have:

• Bachelors or Masters in an arts related field
• Research, interpretation, and writing skills
• Knowledge of art collections management, public art administration, art museum registration, and/or art education
