The Role

We are seeking a mid-level Project Manager with three plus years of experience to join our fast-paced agency. This role involves a significant amount of time dedicated to resource management within the creative department, ensuring projects are appropriately staffed with the necessary skills and experience. This highly organized and confident communicator will be the central point of contact across all departments, ensuring projects are executed efficiently, on time, and within budget. You will be a calming and authoritative presence, effectively communicating priorities and championing established processes. This role could focus on all tactics including, social, digital, print and broadcast.

You will maintain a comprehensive understanding of all active projects, regardless of size, and expertly manage multiple projects simultaneously. Your exceptional organizational skills will be essential for tracking resources, costs, budgets, and securing necessary approvals.

Responsibilities:

Creative Resource Allocation:
  • Proactively source creative resources (including freelancers) to fill capacity gaps.

  • Gather resource requests from business leads.

  • Manage resource allocation in the resource management tool.

  • Evaluate resource availability and report on resource statuses.

  • Communicate resource changes, conflicts, and blockers promptly.

  • Maintain a resourcing document with freelance details (start/end/contract terms).

  • Validate assignments and assess creative staff availability across accounts.

  • Maintain knowledge of internal and external creative talent.

  • Support new business initiatives with resource management.

Agency Status Tracker:
  • Develop and maintain a tracker to monitor project progress, resource allocation, and agency performance.

  • Streamline tracking processes for efficiency and accuracy.

  • Gather input from North American business leads on client statuses, progress, and wins.

  • Collect and maintain an up-to-date tracker for leadership review and reporting.

New Business Project Timelines:
  • Build and maintain project timelines for new business engagements, collaborating with the new business team.

  • Manage the scheduling demands of new business initiatives.

  • Note: Time commitment may vary based on new business activity.

Agency Status Meeting Support:
  • Schedule key milestone meetings.

  • Present business status updates during meetings.

  • Support leadership in preparing for and facilitating agency status meetings.

  • Share relevant notes and links.

  • Manage projects from start to finish, ensuring smooth execution across departments.

  • Communicate project status, risks, and challenges effectively.

  • Develop and maintain project plans, timelines, and budgets.

  • Allocate resources effectively and monitor progress.

  • Facilitate communication and collaboration between teams and clients.

  • Ensure projects meet agency standards and processes.

  • Proactively address and resolve project roadblocks.

Requirements:
  • 3+ years of project management experience.

  • Experience with digital and print projects.

  • Experience with Smartsheets or a similar tool

  • Excellent interpersonal and communication skills, with the ability to interact effectively with individuals at all levels.

  • Strong organizational skills and the ability to multitask effectively.

  • Proactive, flexible, and detail-oriented approach.

  • Ability to work independently and take initiative.

The pay range for this role is $80,000-$95,000. Individual compensation will be commensurate with the candidate's experience and local cost of labor. Salary is subject to change based on factors such as geographic location and cost of living in location of hire.
