Property and Facilities Manager

General Job Description:
Manage and maintain the clients facility. The Property and Facilities Manager will work under the lead of local leadership to manage day-to-day operations and maintain "Class A" working environments for all employees, in adherence with company and building standards.
Essential Duties & Responsibilities:
Oversee the day-to-day operations of the facilities in conjunction with the landlord's building engineers, building staff, security contractor, janitorial services, etc.
Main point of contact between landlord's building staff and the clients employees.
Provide excellent employee service. Respond to employee requests/problems in a timely and courteous manner and generate work orders directed to vendors or maintenance staff. Follow up with employees to ensure satisfactory resolution.
Manage- budget-projections, approvals and implementation, vendor & contractors.
Manage security and synchronize access control between client's access control platform and landlord's building access protocol. Update Key FOB database as required.
Coordinate with the Clients Safety and the landlord team for fire alarm, fire drill, and emergency evacuation procedures.
Ensure the clients employees follow all parking and building rules and resolve any issues with the landlord team.
Complete daily building walks of leased and common areas, and ensure compliance with lease terms, building standards, and the proper upkeep of the property.
Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy.
Manage the repair or replacement of furniture, office equipment, and printer/plotter defects in conjunction with any warranties or service agreements.
Maintain a contact list of all contracted/regularly used vendors for property maintenance/ repairs.
Coordinate training room and conference room needs as requested by employees.
Regular ordering, stocking, and preparing of supplies on each floor such as:
Staples office supplies
Our client's stationery and mailing supplies
Prepare coffee in the main breakroom daily. Stock snacks and kitchen supplies in all pantry and break room areas
First Aid and AED kits
Printer/Plotter supplies
Other vendors per business needs
Mailroom assistance:
Delivery of mail and packages to the correct departments and locations once daily.
Manage letters, packages, and supplies between the client's mail areas and the first floor landlord mailroom.
Handle postage, paperwork, and preparation of small outbound packages.
Work with delivery drivers and mail services on the client's behalf, such as FedEx, Tricor, USPS
Respond to the office to deal with emergencies as they arise including weekends and after hours.
Prepare comprehensive management reports monthly.
Prepare and manage annual operating budgets.
Review real estate tax assessments.
Manage any recurring facilities billings. Approve all costs for payment with review against contract rates.
Coordinate collection efforts of accounts receivables.
Review annual and monthly expense reconciliations.
Other duties as assigned.
Position Requirements (Skills, Work Experience, Education, Certifications, Licenses, etc.):
AA in Business Management or Real Estate Management, or related field.
5+ years of Commercial Property Management experience
Excellent communication skills both verbal and written.
Innovative marketing skills and abilities.
Budget experience ability to review financials and provide variance explanations.
Excellent customer service and Exceptional organizational skills.
Knowledge and proficiency in Microsoft excel.
Must be self-motivated, creative, and resourceful.

Hours :
This is an exempt position from Monday through Friday. However, weekend work may be required based on business needs.
